The Administrative Assistant supports the daily operations of the office by performing a variety of administrative and clerical tasks. This role is responsible for assisting with office organization, document preparation, scheduling, and providing support to team members. The ideal candidate is organized, efficient, and can work independently in a fast-paced environment.

Key Responsibilities

  • Reception Duties: Greet visitors, answer and direct phone calls, and manage general inquiries.
  • Scheduling: Maintain and coordinate calendars, schedule meetings, and arrange appointments.
  • Document Management: Prepare, organize, and distribute documents, reports, and correspondence as needed.
  • Office Organization: Maintain a clean and orderly office environment; order office supplies and manage inventory.
  • Data Entry: Input and maintain data in office databases, ensuring accuracy and confidentiality.
  • Filing and Records Management: Create, manage, and organize physical and electronic files.
  • Support to Team Members: Provide administrative support for various departments, including handling mail, processing invoices, and creating presentations.
  • Communication: Handle correspondence, including email and mail, in a timely and professional manner.

Qualifications

  • Education: High school diploma or equivalent; some college coursework preferred.
  • Experience: Previous administrative or office experience is a plus.
  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • Basic knowledge of office equipment (e.g., fax machines, printers, copiers).
  • Attention to detail and problem-solving skills.

Job Type: Full-time

Expected hours: 40 per week
